As an Office Manager & Assistant to North American Leadership Team, you will provide confidential and administrative services to the General Manager and wider team, as required. You will support, as needed, onsite and will need to be flexible in your approach to the day to day needs of GM /Team & general management of the office.

You'll be:

  • Ensuring the GM's time is effectively managed.
  • Prioritizing and scheduling meetings, accommodating changes as necessary.
  • Arranging all internal and external meetings for the GM and NA team.
  • Acting as a gatekeeper, ensuring the GM has access to the right people.
  • Prepare presentations and documentation in advance, ensuring the GM and team are briefed as needed.
  • Assisting with the planning, execution, and management of special projects
  • Supporting the GM and team in meeting project deadlines and deliverables.
  • Helping with the creation and management of PowerPoint presentations
  • Arranging travel for the GM and team, including last-minute trips within the US and overseas.
  • Booking flights, rail, cars, hotel accommodations, and reservations.
  • Obtaining visas if applicable, create full itineraries, and ensure all parties are prepared for travel.
  • Liaising with partners and schedule meetings in advance.
  • Working closely with relevant departments, including overseas offices, to ensure smooth leadership operations.
  • Building strong working relationships across the company for effective cross-functional communication.
  • Fielding incoming department calls and manage inquiries from internal and external parties.
  • Performing general office management and day-to-day support duties.
  • Maintaining office supplies, ensuring inventory is stocked and orders are placed as needed.
