Job Description

BUSINESS OFFICE ASSISTANT

The Lycée Français de San Francisco is a French Immersion College Preparatory School in
the San Francisco Bay Area. We provide a challenging educational environment based on the
French national curriculum and the International Baccalaureate framework, enriched by
English classes from PS-12th grade. Our curriculum is designed to provide students with a
well-structured, well-assimilated body of general knowledge while encouraging the
development of analytical and critical thinking skills. Our students earn an American high
school diploma, as well as prepare for the French Baccalauréat or the DP IB, which qualifies
them for both American and European Universities.

OVERVIEW

  • The Business Office (B.O.) Assistant plays a crucial role in ensuring smooth operations
within the B.O. team by providing essential administrative support. This dynamic
position involves managing key responsibilities such as coordinating bus
transportation, administering Financial Aid programs, and overseeing expense
management. By streamlining these critical functions, the B.O. Assistant directly
contributes to the efficiency and success of our school community.
  • This is a full-time, non-exempt position, 35 hours per week. The working hours are
from 8:30 AM to 4:30 PM including a one-hour lunch break.
  • Bilingual (English/French): Strongly recommended for effective communication with a
diverse community. This position will interface with the French government for
financial service awards for local French families. Having some command of the
French language will be necessary.

RESPONSIBILITIES

As the organization changes and grows the responsibilities of the B.O. Assistant may evolve
to meet the changing needs of the organization. Currently, our needs are:

Bus administration:

  • Organizes the bus schedule commuter transportation, Physical Education,
and field trips and liaise with with the bus company to keep the schedule
up-to-date
  • Performs administrative tasks related to the bus (enrollment, invoicing, etc)

Financial aid administration:

  • Accepts and reviews incoming student financial aid applications and related
documents, and prepares the files for processing.
  • Reviews the contribution and calculates financial aid awards
  • Assist with applications for French aid
  • Prepares information for the Financial Aid Committee that approves the financial awards

Small expenses duties:

  • Controls employees’ small expenses reimbursement (receipts and distribution)
  • Manage and update the Expensify application

Accounts Receivable:

  • Update family billing for bus and daycare registrations.
  • Record tuition payments or charges made via bank transfer in the billing software

(FACTS).

  • Ensure timely responses to families regarding their billing inquiries and issue invoices.
  • Invoice families for shadow teachers and track payments.
  • Perform bank reconciliations each month.

Deposit:

  • Cash the checks every week and fill out the spreadsheet.
  • When a check is returned unpaid, contact the parents to request a new check.
  • Recount the fundraising money.
  • Deposit the money directly into the bank.

QUALIFICATIONS AND PERSONAL SKILLS:

  • Bilingual English/French preferred
  • Administrative experience at a school
  • BA or equivalent degree in Business or Finance
  • Computer skills: Excel, Word, Blackbaud & Clarify are a plus
  • Punctual, rigorous, energetic and proactive

Start Date: Open Immediately

Status: Full-Time, 35 hours per week, Non-Exempt, reports to the Chief Financial
Officer (CFO)

Location: Ortega Campus, San Francisco

Candidates with 1 to 3 years related experience in the education field can anticipate a
yearly salary, ranging from: $ 67,636 to $ 69,999 for 35 hours per week (based on
Salary Grid 2024/2025). The salary offered to the successful candidate will be
dependent on several factors that may include but are not limited to the type and
years of experience in the job, type and years of experience in the industry, education,
etc. LFSF offers a negotiated salary range.
